A Time Management System

What do you have to do? If you asked me at the start of April I would probably pull out a massive list. The list would have around 50 thoughts on it, scribbles, coffee stains, easy tasks crossed out… and difficult tasked darkened with ink from me doing multiple pen passes pondering when I’d get these terrible tasks out of the way…

A long todo list is the death of productivity. Reasons: You scatter focus, you have a tremendous weight upon your shoulders and you tend to do the easy, small stuff first.

Here’s a new way to focus on getting things done:

  • Per each day, figure out the top 6 important things you need to do.

  • For the 6 tasks, specify how much time you want to spend on each one.

  • Plot out those blocks of time on your schedule. Eat the crust first – get the tough ones out of the way.

Remember to save room in your schedule to eat, sleep, and to complete random tasks. When working through your plotted time blocks, you will probably stumble upon little things you need to do… email pop ups, voice mail, forum posts, critiques etc – random tasks. Jot down these interruptions. It is recommended to include around 60 mins in your schedule (could be split up) to complete random tasks. Not only will your random tasks get done all at once, but your focus will stay strong on your objectives. If (like I will) you have your own secretary, drop off your “got a minute/ random tasks” times so when visitors arrive they will know exactly when you are “on” to being bothered.

If your team follows this, you can inspect colleague’s schedules to see where their focus is and obtain awareness of what you can help with as well as celebrating successes.

We made a template at the office in which I print and fill out 3-4 days ahead of me. I rough it in just like blocking animation or doing a gesture. Try to be flexible in your plans. Depending on what’s on your plate, rigid plans can cause a lot of stress. In a situation where you will need to decide to detach yourself for your plan and go with the flow, ask yourself what’s more important? Expect some of your schedule to change. Show up with an allowance of the inevitable.
